Job Description

Rady Children's Physician Management Services (RCPMS) offers exciting opportunities for qualified candidates to join our rapidly growing organization. We are a wholly owned subsidiary of Rady Children's Hospital and Health Center with just over 500 employees. RCPMS supports primary care pediatricians with 31 office locations throughout San Diego and Southern Riverside Counties.

RCPMS seeks a friendly, motivated, experienced individual for our open Full-Time Human Resources (HR) Administrative Assistant position located at our corporate office in the Kearny Mesa area.

The HR Administrative Assistant works under the supervision of the Director of Human Resources and performs administrative duties related to the operations of the Human Resources Department.

Responsibilities:

  • Answers and directs departmental phone calls and in-person inquiries.
  • Sorts and distributes office mail and emails received through the HR department email account.
  • Assists with document management and updating policies and procedures.
  • Establishes and maintains department files. Catalogs, archives, and retains records as required by regulatory agencies, policy or procedures. Retrieves archived records as necessary.
  • Tracks, sends reminders, escalates non-compliance, and generates reports related to staff completion of reoccurring and episodic activities
  • Assists with employee recognition efforts
  • Assists with Employee Engagement Surveys
  • New Hire Orientation assistance
  • Scheduling of meetings both in-person and virtual
  • Generate written communication from source materials or from templates
  • Maintains calendar of HR activities, events, and deliverables
  • Supports the HR Director with meeting scheduling, calendar assistance, meeting minutes
  • Assist other HR department members with administrative tasks including maintenance and upkeep of all personnel files.
  • May assist with preparation of human resources reports such as attendance, new hire, and turnover reports.

Requirements:

  • Bachelor's Degree and minimum of two years experience in an administrative support position.
  • Excellent customer service skills both via the phone and in person.
  • Thorough knowledge of computer applications including MS Office and Windows operating systems with strong emphasis on Word, Excel and Outlook.
  • Ability to maintain work related confidentiality at all times.
  • Ability to maintain composure when confronted with fast-paced and stressful situations.
  • Proven ability to deal positively with a wide range of people and personalities and handle tense situations in a diplomatic fashion.
  • Ability to be punctual and flexible.

The reasonably expected starting hourly wage range for this position is $22-$25 depending on qualifications including education and relevant experience
